Cloud accounting software is powerful, but the brand of software matters far less than how it is set up and used. A good setup should make the records reliable with the least possible effort.
What good looks like
- Bank feeds connected for every account, so transactions arrive automatically.
- A chart of accounts that fits the business — detailed enough to be useful, simple enough to code consistently.
- Bank rules for recurring transactions, so the same supplier is always coded the same way.
- Receipts captured at source using the software's app or email-in address, attached to the transaction.
- Regular reconciliation — weekly or monthly, never just at the year end.
- Clear responsibilities — who codes, who reviews, who approves.
Signs the setup needs attention
- Large "suspense" or "uncategorised" balances
- Bank balances in the software that do not match the bank
- Different staff coding the same costs differently
- Reports nobody trusts enough to use
The payoff
When the underlying records are consistent, reporting becomes useful: you can see margins, cash movement and trends without first correcting the data. See our bookkeeping & cloud service for how Accounting Guru can help.
